Before your employees begin their BetterUp coaching journey, you'll need to assign licenses and send invitations using the People Analytics Dashboard (PAD). This guide outlines how to invite members, monitor license usage, and manage subscription settings to support a smooth program launch. You have the option to send invitations right away or schedule them to go out at a specific date and time. This flexibility makes it easy to manage timing based on your team’s needs, whether you're inviting individuals as they join, coordinating across multiple groups, or rolling out access in phases.

How to invite Members
Follow these step-by-step instructions to invite members to BetterUp through the PAD and get them started with coaching.
Step 1: Sign in & access the Admin tab

Log in to the People Analytics Dashboard (PAD).

Click on the Admin tab at the top of the screen.

In the upper right corner, select Invite Members.
Step 2: Enter Member Details

Paste or type the email addresses of the members you want to invite (separated by commas, spaces, or line breaks).

Click Continue.
Step 3: Select Member Program and Configure Access
After selecting a member’s program, choose how to grant them access. You can either assign a subscription or manually configure the experience based on their needs.
- Select the appropriate program and click Continue
- You will be prompted to choose how you'd like to grant access to your member and will see one of the following options:

Option 1: Assign Member Access via Subscription (See this note on subscriptions for guidance)

Select the subscription you’d like to use.

Choose the access start date for the member.

Click Continue.

Option 2: Customize Member Access and Timeframe

Choose the specific product(s) the member should access.

Select the length of access from the dropdown menu or enter a custom duration.

Click Add, then Continue.

Tip: Need to grant access to multiple products? Click Add Another Experience to include additional products.
Step 4: Review Alerts (if applicable)
At this point you may have an alerts pop-up appear on the left side of your screen outlining a few scenarios and additional information before you move on:

- Removed Emails: If a member already has to this BetterUp product they will not be sent a new invite

Grant Additional Licenses: If a member has access to one of our other products it will be noted here.

Step 5: Finalize & Send the Invitation

Review all details and click Confirm Invitation

Optional:

Adjust invitation language

Schedule the invitation for a future date/time

Set the appropriate time zone

Click Preview Invitation Email to view what the member will see

Once you've completed these steps you will see a pop-up with confirmation that the invitations have been scheduled or sent. The invitations will also now appear under the Scheduled Invitations tab

Manage Scheduled Invites
Once invitations are sent or scheduled, you can track them in the Scheduled Invitations tab. Each batch card provides a quick overview of key information like send date, invite track, and member count.
Each Batch Card provides you with a snapshot of key details:

Product(s) Included

Member Count (click here to see who's included in that batch)

Creation Date

Creator’s Name (If initiated by your BetterUp Account Team, it will display as "Your BetterUp Account Team")
Need to start fresh? Use the Clear Filter chip at the top of the dashboard.
Tips for Managing Batches

Sort Order: Batches are automatically sorted by send date, so the most urgent invitations appear at the top.

Changing Plans? You can cancel an entire batch in just a few clicks for maximum flexibility.

Track and Manage Licenses
A few notes on subscriptions:
Subscriptions determine how and when coaching access can be granted. Each subscription type has different usage rules that affect license availability and timing.

You cannot invite more members than the available license count shown for a subscription.

Subscriptions display their end date, which determines when member access will expire.
- For 12-month subscriptions, access ends on the subscription end date.
- For a 6-month subscriptions, invite members at least six months before the subscription end date to ensure they receive the full coaching experience.
- Subscriptions will appear grayed out once all licenses have been assigned.
