As a program admin, your role includes making sure the right people have access to BetterUp and are actively engaging in the coaching experience.
The Admin tab in the People Analytics Dashboard (PAD) is your central hub for monitoring member activity, managing access, and supporting ongoing engagement with BetterUp. Whether you’re launching a new program or managing an existing one, this view gives you the tools to take action and make timely, informed decisions.
This guide will help you understand what’s visible in the Admin tab, how to drive member engagement, manage access, and explore deeper insights to strengthen your program.

What You Can See
After logging into the People Analytics Dashboard (PAD), click the Admin tab in the top navigation. Here you will have a quick snapshot of each member’s details (name, title, email) along with their engagement with BetterUp. You will be able to view their assigned coaching track, the number of sessions they’ve completed, their next scheduled session, access end date, subscription type, and current Member Status in the coaching journey.
Clicking on a member’s name opens their profile, where you can view more detailed information such as their full session history, last engagement date, and the start and end dates of their platform access.
Organizing and Filtering Your View
You can organize and segment member data to focus on the information that matters most.
Use the sort feature to reorder the list by:
View sort options
- Name
- Number of sessions completed
- Next scheduled session
- Access end date
Use filters to narrow your view based on:
View filter options
- Status – such as Invited, Started Coaching, or Stalled
- Track – such as Leadership Development or New Manager Coaching
- Custom attributes – like department or region, if set up during implementation
- Not Ended – shows members with active access (see Member Statuses)
- Stalled Members – shows members who may need re-engagement (see Member Statuses)
Sorting and filtering help you focus your check-ins and take action more efficiently—especially as your program scales.

Driving Member Engagement
How often you check in on the Admin tab may vary depending on your program goals and where you are in your rollout. In the early stages of your program, we recommend checking the Admin tab a few times a week. This helps you monitor activation progress and respond quickly to members who need support. As your program matures, shifting to a weekly or bi-weekly cadence is often enough to maintain visibility and drive ongoing engagement.
What to focus on over time:
-
At launch: Track activation and follow up with members who haven’t accepted their invite or completed onboarding
-
Once things are underway: Watch session activity and nudge members who haven’t scheduled recently
-
As the program progresses:
-
Look at Reflection Point assignments and completions to ensure coaching milestones are being met
-
Use filters like Stalled Members or sort by Access End Date to take timely action and provide support
-
When engagement stalls, these tools can help you spot issues early and provide the right nudge at the right time
-
Nudge Members – View stalled members and send a personalized Nudge (reminder)
-
Export Member Data – Download a comprehensive view of members and their coaching activity
-
Activation and Usage Report – Review overall member activation and platform engagement trends

Understanding Member Statuses
Member statuses help you understand where someone is in their coaching journey and whether they may need follow-up. Here is a quick overview of what each status means:
View Member Status Definitions
Invited: The member has been invited but hasn’t activated their account.
Activated: The member has started onboarding and set up their password.
Note: Returning members remain in this status until onboarding is re-completed.
Completed Onboarding: The member has finished their onboarding assessment.
Started Coaching: The member has completed their first coaching session.
Reflection Assigned: A Reflection Point has been assigned.
Reflection Completed: A Reflection Point has been completed.
Ended: The member’s license has expired.
Note: Members can still log in to access past reports and resources.
Stalled: The member has remained in a status longer than is typical, based on platform benchmarks.
This may include delayed activation, no scheduled session, or an incomplete Reflection Point.
