Step 0: Verify Administrator Permissions
Please ensure you have the necessary administrative permissions within Microsoft Teams:
- Access to Microsoft Teams
- Permission to install and manage apps within Teams
- Ability to authenticate within Teams using organizational credentials
Step 1: Enable and Configure the BetterUp App
Admin must enable/allow the BetterUp App via the Microsoft Teams Admin Center so that BU App is available to members in the Microsoft App Store. Detailed instructions and video walkthrough below:
- Navigate to the MS Teams Admin Dashboard. Click on the "Teams apps" dropdown.
- Select the "Manage apps" tab and search for the "BetterUp" application.
- Note on App versions: EU partners (that use app.betterup.eu) should use the ‘BetterUp EU” app, regardless of their employee’s physical geographical base
- Enable the BetterUp app by switching its toggle from "blocked" to "allowed"
Step 2: Pre-install & Pin BetterUp App (Highly Recommended)
While technically optional, we strongly recommend completing this step for best results. Pre-installing and pinning the BetterUp app significantly increases member discoverability and adoption.
When you complete this step, members will find the app waiting in their left panel without having to search for it. Providing easy access makes them far more likely to engage with their coaching benefit right away. A few minutes now can meaningfully improve program outcomes over time.
- Under App Set up Policy or App Centric Management (depending on your organization’s setup), grant admin consent to the permissions requested by the app (see the below video walkthrough)
- In addition, consider pinning the BetterUp App to the users' left panel:
- Click on the "Teams apps" dropdown and Select "Setup policies"
- Choose the desired app setup policy and add the BetterUp app to the list of pinned apps and arrange it in the preferred order.
Step 3: Verify Member Experiences Function as Expected
- Once the above steps are completed, allow up to an hour for these changes to take effect.
- Members will now be able to search and download the BetterUp app from Teams app store or launch the pinned app directly from the left panel (if you completed the optional step)

What happens when a member no longer has a BetterUp license? Do we deprovision them? Does the app go away?
Members can still see or add the BetterUp app in Teams even after their license expires. When they open the app, they will see a clear message indicating they no longer have an active account. R&D has designed this experience to be straightforward and non-frustrating for members.
There is no automated way for BetterUp to remove the app from an individual's Teams instance. However, a Teams administrator has the ability to push or remove apps from employees' instances. Because member access can change frequently, most organizations have their IT admin approve the BetterUp app to appear in the org's Teams App Store rather than pushing it to everyone directly — meaning members can self-install if and when they want to engage.
If your organization wants tighter control over who sees the app after license expiration, we recommend working with your Teams administrator to align app availability with your active BetterUp license roster.
What will members see if they don't have access to AI Coach?
If a member's organization has not enabled AI coaching, they will see a message in the BetterUp Teams app indicating that AI features are turned off for their organization. They can still access other BetterUp features through Teams, including session reminders, coach messages, and session management, depending on their product experience. Members should reach out to their internal program administrator for more information about AI Coach access.
