Many executives rely on their Executive Assistants (EAs) to help manage their schedules via their own account. This article will provide information on what EAs have access to and do not have access to, as well as how an EA can be added to an Executive’s account, details on how to help your Executive select a Coach, and how to toggle between the member and EA/scheduler experiences.
What An Executive Assistant Can Do
Once access is granted, an EA can:
- Schedule, reschedule, or cancel 1:1 coaching sessions
- Support more than one executive (if needed)
- Manage sessions for multiple executives from a single account
- Receive confirmation emails after any scheduling actions
- Book sessions in their Executive’s time zone
What an Executive Assistant Cannot Do
Executive Assistants do not have access to private coaching content. They cannot:
- View coaching notes, assessments, or progress insights
- Join coaching sessions
- Message their Executive’s coach
- Complete onboarding activities such as the Welcome Profile Assessment (WPA)
- Access any session content or tools inside the Executive’s BetterUp account
EA Access Limitations and Support
Some executives are supported by multiple EAs, and some EAs manage more than one executive’s coaching schedule. If you’re unable to find availability that works for your Executive’s calendar, please reach out to BetterUp Support.
How to Request EA Access
To enable EA scheduling access, the Executive should contact BetterUp Support to request access for their Executive Assistant (EA). In the request, please include:
- The Executive’s full name and email address
- The EA’s full name and email address
Verification required: We can only add an EA after verifying the request with either (1) the Executive whose account the EA will be assigned to, or (2) the organization’s BetterUp program coordinator who administers the account.
Once access is approved, the EA will receive a welcome email prompting them to create a BetterUp account for scheduling.
If the EA changes, Support can help transition access.
What does an Executive see when they are onboarding?
The onboarding process can vary depending on the coaching program that the Executive has been invited to, but will typically include completing their account setup as well as any onboarding assessments, and selecting their Coach.
Once your Executive has completed the onboarding process, you’ll be able to begin scheduling coaching sessions on their behalf.

Your Executive may need guidance as they explore coaching options. You can absolutely support them in the process — while keeping in mind that Executives must select their own coach, and an EA cannot choose on their behalf. Choosing a coach is a critical part of the coaching journey, and ownership of that decision sets the foundation for a strong partnership.

You will use the same login credentials and toggle between the account experiences using the steps below.
- Log in to your BetterUp account
- Click the avatar in the upper right corner (In the picture below, it is the green circle. Please note that colors can vary)
- Click Switch on the experience you’d like to change to
